About This Policy
This privacy policy explains how Logbook, developed by Innovative Online Industries (ABN 95 029 307 952), collects, uses, and protects your personal information in compliance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Information We Collect
Logbook collects the following types of information to provide its core functionality:
Location Data
GPS coordinates are collected only during active trip recording to calculate distance travelled. Location data is stored locally on your device and synced via iCloud to your personal Apple account. We do not access, transmit, or store your location data on our servers.
Vehicle Information
Make, model, year, registration number, and odometer readings you enter. This data is stored locally and in your personal iCloud account.
Receipt Images & Data
Photos of receipts you capture are processed to extract expense information. Images may be sent to OpenAI's API for text extraction (OCR). OpenAI processes this data according to their API data usage policy and does not use API inputs for model training. Extracted data is stored locally and in your iCloud account.
Financial Information
Expense amounts, categories, GST components, and ABN numbers you enter for tax deduction tracking. This data is stored locally and in your personal iCloud account.
Property Information
Investment property addresses and associated expenses you enter. This data is stored locally and in your personal iCloud account.
How We Store Your Data
All data is stored:
- Locally on your device using Apple's Core Data framework
- In your personal iCloud account using Apple's CloudKit framework for cross-device sync and backup
We do not operate our own servers or databases. We do not have access to your data stored in iCloud. Apple's iCloud infrastructure is protected by industry-standard encryption in transit and at rest.
Third-Party Services
OpenAI API
Receipt images may be sent to OpenAI for text extraction. OpenAI's API data usage policy states that API inputs and outputs are not used to train their models. We send only the receipt image — no personally identifying information is included in the API request.

What We Do Not Collect
- We do not collect your name, email address, or phone number
- We do not use analytics that track individual users
- We do not use cookies or advertising identifiers
- We do not sell, share, or rent your data to third parties
- We do not track your location when the app is not actively recording a trip
Your Rights
Under the Australian Privacy Act 1988, you have the right to:
- Access your personal information — all your data is accessible directly within the app
- Correct your personal information — you can edit or delete any record in the app at any time
- Delete your data — deleting the app and your iCloud data removes all information
- Complain — if you believe your privacy has been breached, you may contact us or lodge a complaint with the Office of the Australian Information Commissioner (OAIC)
Data Retention
Your data is retained on your device and in your iCloud account for as long as you choose to keep it. We recommend retaining logbook records for at least 5 years, consistent with ATO record-keeping requirements. You can delete individual records or all data at any time through the app.
Children's Privacy
Logbook is not directed at children under the age of 17. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this privacy policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of the app after changes constitutes acceptance of the revised policy.
